The overview
The market splits into tools for your practice (scheduling, invoicing, client management) and tools that touch the conversation itself. It's that second category that swallows your evenings.
In short: a tool that writes up your session takes the typing off your hands, and none of the coaching decisions. Notuly doesn't analyse your client, doesn't suggest next steps and doesn't track a programme: it delivers the text you do that work on. How the AI turns a recording into a report is explained under automatic meeting notes; for a step-by-step walkthrough, see how it works.
The maths
One report doesn't take long to write up. Added up over a week, it's a fixed, unpaid second job.
Thursday evening, half past eight. Björn has seen four clients, an hour each. During every session she typed half of it as she went, because otherwise it would be gone. Now she's at the kitchen table with four sessions still to write up for her files and the next appointment. The real work of her day only starts long after her clients have gone home.
The sum below is illustrative and meant to show the scale, not a promise of savings. Plug in your own client numbers and your own write-up time and the outcome shifts with them. What's certain: an hour of conversation only becomes a usable report once someone turns it into one, and that no longer has to happen at the kitchen table at night.
In practice
A coaching programme is a series of conversations that build on each other. Notuly captures every one, from intake to evaluation.
You put your phone on the table and have the conversation the way you always do. No keyboard in between, no glancing at a screen. Afterwards, the report with the themes, agreements and action points is in your inbox, with the transcript as an attachment.
You read it through and add it to your file. The report stays yours.
The first conversation is full of goals, expectations and context you'll need later. Notuly captures it while you ask the deeper questions, so the programme starts with a complete picture.
The foundation of the programme, in black and white.
Before the next appointment you see at a glance where the programme stands, without replaying an hour of audio or deciphering loose notes.
Every session picks up where the last one ended.
The rules
Yes. In the Netherlands you're allowed to record a conversation you take part in yourself. Things only get delicate once you process the recording, and in a coaching session that weighs more heavily than in a team meeting.
In the Netherlands you may record a conversation you take part in yourself; that in itself is not an offence. It becomes a GDPR matter the moment you use the recording or the report for a purpose, such as keeping it in your files. From that point you're processing personal data, you need a legal basis, and you inform your client.
In practice it comes down to three things. You say at the start that you're recording and what for. You give your client the chance to say what they think of it, including that they'd rather you didn't. And you briefly note that you've done so. If your client would rather not, you fall back on written notes: capturing the conversation is the goal, recording is one way of doing it.
The full rules, with the legal bases and the exceptions for each situation, are set out in can you record a meeting?
As soon as health, burnout or mental wellbeing comes up in a session, you're processing special category personal data. The Autoriteit Persoonsgegevens, the Dutch data protection authority, is clear on this: processing special category data is prohibited in principle, unless a legal exception applies. For a coach, that exception is usually the client's explicit consent.
That changes the question you ask of an AI tool. Not just whether it works well, but where the recording ends up, whether anyone trains on it and where the report will live. A conversation about someone's stress that passes through a server outside the EU, or gets used as training data, is a different story from a conversation that is processed and then gone. Your choice of tool is a privacy decision, not a matter of convenience.
With Notuly, the audio is deleted within a minute of processing. What remains is the report, and you keep that in your files for as long as you need it: you keep the text, not the sound. How to judge a processor on exactly that is covered under secure notetaking.
Notes remain a perfectly valid method. If your client doesn't want a recording, you fall back on them; for a short, informal check-in, a note is enough and a report is overkill.
There's also a boundary that matters more. Coaching is not therapy and not healthcare: it doesn't fall under the legislation and professional disciplinary rules that apply to a clinician. If you work as a psychologist or in mental healthcare with an actual treatment record, different requirements apply. Keep that distinction sharp, for yourself too.
The audio is deleted within a minute of processing. Once your report has been sent, we no longer hold your data. What we don't keep can't leak.

AI for coaches falls into two groups: tools for running your practice (scheduling, invoicing, client management) and tools that turn your session into a report. To capture an in-person conversation, you put your phone on the table and the report arrives in your inbox. Choose based on where your data ends up, especially with sensitive conversations.
You record the conversation and have it written up into a report automatically, instead of typing it yourself in the evening. During the session there's nothing to write down, so you can be fully present. Afterwards you read the report through and add it to your file.
Yes: in the Netherlands you may record a conversation you take part in yourself; that in itself is not an offence. As soon as you keep or process the recording or the report, the GDPR applies: you need a legal basis and you must inform your client. If your client doesn't want it, you fall back on notes.
At the very least, you must tell your client beforehand that you're recording and what for. Processing sensitive information (health, wellbeing) usually requires your client's explicit consent. Make a brief note that you've done so.
Often, yes. As soon as health, burnout or mental wellbeing comes up, you're processing special category personal data, and processing that is prohibited in principle unless an exception applies (usually explicit consent). That makes your choice of tool a privacy decision.
There is no specific statutory retention period for coaches; in practice, 2 years is treated as a minimum and 5 years after the programme ends as a guideline. Invoices and tax records are kept for 7 years. Don't keep anything longer than you have a valid reason to.
You can, but watch where your client data ends up. With sensitive conversations, the question is whether the data stays within the EU and isn't used as training data. Judge a tool on where the data lives and what happens to it, not on the promise alone.
No. AI takes over the admin around your coaching, not the coaching itself. A report tool delivers the text of the conversation; deciding what your client needs and the relationship itself are still your work.
It can be, provided the processing stays within the EU, there's a data processing agreement, and your conversations aren't used as training data. Keep the report rather than the audio. With Notuly, your data never leaves the EU and the audio is deleted after processing.
With a Team licence, every coach works the same way with the same report structure, so every file has the same shape. One way of capturing means the quality doesn't depend on who ran the session.
Pricing is per licence and you start free with three conversations a month; the current prices are further up this page. A practice pays per coach who uses it, not for a big platform up front.
Not the tool itself, but processing sensitive client conversations unsafely: often special category personal data. Notuly reduces that risk by keeping the processing in the Netherlands, not training on the conversations and deleting the audio after processing. You stay in control by having every report checked by the coach.
In the Netherlands, on our own servers in Amsterdam, with no training on client data. A data processing agreement (GDPR Article 28) is arranged centrally for the whole practice, on Team and above.
No. Notuly captures the conversation and delivers the report; your existing scheduling, invoicing and client software stays in place.
AI for coaches takes over the admin, not the coaching. Tools schedule, invoice and write your session up into a report, so you don't have to type during the conversation. Recording is allowed: a conversation you take part in yourself is no problem, but as soon as you process it the GDPR applies and you inform your client. A coaching report is also often special category personal data, so check where a tool keeps its data, whether it trains on it and whether the audio is kept. With Notuly everything runs on Dutch servers and the audio is deleted within a minute of processing; the report remains yours and your client's.
Let Notuly capture your next coaching session and see what lands in your inbox afterwards. Three conversations free, no payment details needed.
