In practice
On an ordinary day you have a handful of conversations where the real work happens. In all three, the value is in what gets said, and that normally goes unrecorded.
You show people round, answer questions about the roof and the boundary, and make promises in passing. Normally you reconstruct in the evening what you said to whom; now the report of what was asked and promised is already in your inbox.

When things go wrong later
In a dispute over the sale of a home, the estate agent's duty of disclosure outweighs the buyer's duty to investigate.
An estate agent who can't show what they said during the viewing is on shaky ground. A selling agent has to alert the buyer to anything that matters, and when that happens verbally without being written down anywhere, it's hard to prove later.
That's why lawyers and dispute-resolution bodies keep pointing to the same thing: record what was said, because it strengthens your position on evidence. In practice, cases turn on whether a statement matches what later appeared in the questionnaire or the brochure, and on who can show what was said at the viewing. So the report of a viewing isn't paperwork to catch up on in the evening: it's your evidence of what you did and didn't promise.
