    The basics

What does it mean to transcribe a conversation?

Transcription turns spoken language into written text. There are three common forms, and the one you choose decides how readable the text ends up.

    Verbatim

Everything exactly as it sounded, including filler words, repetitions and false starts. For research or a legal context, where the exact wording matters.

    Clean read

The same content in tidy sentences, without the ums and the half-finished thoughts. The version you can read back without stumbling.

    Summarised

Just the main thread: what was discussed, decided and agreed. Not word for word, but the essence.

    Manual or automatic

One hour of audio, two speeds.

Transcribing by hand means listening back, pausing, typing, rewinding. You catch every nuance, but count on four to six hours of work for every hour of recording. Automatic software handles that same hour in a few minutes; all you do is give the result a quick check.

    Manual and automatic transcription compared
Method Time for 1 hour of audio What to watch for
Typing it up yourself 4 to 6 hours A lot of work; you usually only do it once
Automatic (software) A few minutes Where your recording goes; then a quick check

So the difference is no longer speed, but what you check before you hand your recording to any software:

    • Where is my recording processed, and is it deleted afterwards?
    • Is my audio used to train AI?
    • Is there a data processing agreement if personal data is involved?

With Notuly, all three have short answers. Processing runs on our own servers in Amsterdam, the audio is deleted within a minute of processing, and your conversations are not used as training data. The data processing agreement (GDPR Article 28) is available on Team and above.

    Frequently asked questions.

    How do I transcribe a conversation?+

You transcribe a conversation by turning the recording into text, either by hand or automatically. By hand, you listen back and type it out (four to six hours per hour of audio); automatically, software does it in minutes and you give the result a quick check. With Notuly there's nothing to upload: you record the conversation with the app and the transcript arrives on its own.

Can I convert audio to text automatically?+

Yes, transcription software turns an audio recording into text automatically, usually within a few minutes. Above all, check where your recording is processed and whether it's deleted afterwards.

    What's the difference between a transcript and a report?+

A transcript is the word-for-word text of everything that was said; a report or summary gives just the main thread, with the decisions and action points set apart. With Notuly you get both: the report in your inbox, with the full transcript attached.

How long does it take to type up an hour of audio?+

Typing up an hour of audio by hand easily takes four to six hours, depending on your typing speed, the number of speakers and the sound quality. Automatic software usually handles that same hour in a few minutes.

    Is my recording safe?+

That depends on the service: check where the audio is processed, whether it's deleted, and whether it's used for training. With Notuly, the audio is deleted within a minute of processing, your data stays on Dutch servers, and it's never used for training.

Which languages does conversation transcription work in?+

Notuly understands more than 90 spoken languages, even when the conversation switches between them. Your report comes in Dutch or English; the transcript follows what was said, word for word.

    How accurate is automatic transcription?+

Accuracy depends on the audio quality, the accents, the jargon and how many people talk over each other. On a clean recording Notuly reaches up to 98% accuracy; always expect to give the text a quick check.

Do I need a data processing agreement to have a conversation transcribed?+

Yes. If you have recordings containing personal data processed by an external service, the GDPR requires a data processing agreement (Article 28). You sign it before the first recording is processed; with Notuly it's available on Team and above.

    What is verbatim transcription?+

Verbatim, or literal, transcription means writing everything out exactly as it sounded, including filler words, repetitions and false starts. You use it when the exact wording matters; for readability you choose a clean-read version instead.

What does transcribing a conversation cost?+

By hand it mainly costs time: four to six hours per hour of audio. With Notuly you start free on the Starter plan: three conversations per month, no payment details needed. Paid subscriptions are per licence; the current prices are further up this page.

Do I get the full transcript or just a summary?+

Both. The report with the summary, the decisions and the action points is in your inbox; the full transcript comes attached as a .txt file, word for word and speaker by speaker. The report is for sharing, the transcript for searching back through.

Does the transcript recognise who is speaking?+

Yes. Notuly recognises up to 32 speakers in a single conversation and shows in the transcript what each speaker said, without storing any voices.

Does conversation transcription work for in-person conversations too?+

Yes, that's exactly what Notuly was built for. Put your phone on the table and have the conversation; no meeting app needs to be involved. For online meetings on Teams, Zoom or Google Meet you use the desktop app for macOS and Windows.

Can I try conversation transcription for free?+

Yes. The free Starter plan gives you three conversations per month, month after month. No payment details needed, and no obligation.

You keep the text, not the audio.

Record your next conversation and see what lands in your inbox: the report. If you choose, the transcript comes along as a .txt attachment. Three conversations free, no payment details needed.
