Legal
In the Netherlands you may record a conversation you take part in yourself. That isn't illegal, even without announcing it beforehand.
Extra rules apply for business use: the GDPR requires you to inform participants when you process their personal data, and a recording is personal data. In practice: say beforehand that you're recording and why. Participants who know a recording is being made are more willing to accept the report.

That depends on the type. HR reports: up to two years after the employee leaves. Tax records: seven years. Medical records: at least twenty years (under the WGBO, the Dutch medical treatment act). For other business conversations there is no statutory retention period, but keep reports for at least the length of the business relationship.
