    Minutes belong to a formal meeting with an agenda. A meeting report can come from any conversation: a client visit, a consultation, a performance review, an inspection.

    What goes into a meeting report?+

    The basics: the date and the participants, the topics discussed, the decisions, and the action points with names and deadlines. Without a deadline, an action point is just a wish. Some conversations add their own elements, such as development goals in a performance review or the client's support needs in an intake.

    What is a visit report?+

    A visit report is a meeting report of a client visit. It captures commitments and agreements at the moment they're made, and then goes to your CRM or to the client.

    How long should you keep a meeting report?+

    That depends on the type. HR reports: up to two years after the employee leaves. Tax records: seven years. Medical records: at least twenty years (under the WGBO, the Dutch medical treatment act). For other business conversations there is no statutory retention period, but keep reports for at least the length of the business relationship.

    Can you record a conversation without consent?+

    In the Netherlands you may record a conversation you take part in yourself. For business use, the GDPR requires you to inform the participants.

    What does writing up a meeting report cost?+

    Writing up by hand takes 20 to 45 minutes per conversation. At three conversations a day, that's 1 to 2.5 hours of admin every day.

    Does automatic reporting work for in-person conversations too?+

    With Notuly, on Dutch servers in Amsterdam; your data never leaves the EU. The audio is deleted within a minute of processing and your conversations are not used as training data. Notuly keeps no archive of recordings.

    Can I still edit an automatic meeting report?+

    Yes. The report arrives as an email; you adjust it where needed and file it in your CRM or case record. The difference: you start from what was actually said, not from what you thought was said.
