    What Teams transcription does well.

    Teams transcription is built for the online and hybrid meeting, and it does that well. In a Teams meeting you switch on live transcription and everything said appears as text, with a speaker name and a timestamp.

    Dutch is supported

    Both Netherlands Dutch and Belgian Dutch. Afterwards the transcript sits with the calendar item, ready to download as a Word or subtitle file.

    One microphone for the whole table

    If you do open a laptop to turn it into a meeting, that single microphone struggles to pick up the people at the far end of the table. The quality drops as soon as people talk over each other, and around a real table they do.

    Everyone shares that one microphone, so Teams can no longer separate the voices. If you still want to know who said what, everyone has to join separately anyway, while sitting at the same table.

    What Teams does capture ends up in the organiser's OneDrive or SharePoint: a searchable archive with administrator access, at a provider that falls under the American CLOUD Act.

    For confidential conversations, that's a deliberate trade-off.

    You can get an in-person meeting into Teams. All three routes work; each just asks something of you in return.

    • Everyone joins separatelyEvery participant on their own laptop or phone, with headphones to stop the feedback. Speakers are recognised, but you're effectively holding an online meeting around a table. Awkward, and it makes the conversation feel cold.
    • Facilitator with a Copilot licenceFacilitator's notetaking feature requires a Microsoft 365 Copilot licence per user, on top of your existing subscription. In regular meetings it only joins scheduled ones; the Teams mobile app can now also start notes for an in-person meeting. Check the current coverage.
    • Record and write it up in WordYou record with your phone and have Word transcribe the recording. Word separates the voices only as Speaker 1 and Speaker 2: you still put the names to them yourself, and uploaded audio is capped per month.

    Can Microsoft Teams transcribe an in-person meeting?+

    Not if it's purely in person. Teams transcription is tied to the audio of a Teams meeting, so without a meeting running there's nothing to transcribe. You can work around it by having everyone join separately, but then you're effectively holding an online meeting around a table.

    Does Teams transcription work without an online meeting?+

    No. Live transcription and captions listen to the meeting audio, not to the room. No meeting means no transcript.

    How do I transcribe a meeting in a meeting room with Teams?+

    By turning the in-person meeting into a Teams meeting anyway: everyone joins on their own device with their own microphone, or you use a Teams Room with certified equipment. That works best in a quiet room, and it takes extra hardware or licences.

    Does Teams support Dutch transcription?+

    Yes. Teams supports Dutch for live transcription, in both Netherlands Dutch and Belgian Dutch. The quality does depend on the microphone, the distance to the speaker and whether people talk over each other.

    Does Teams tell the speakers around the table apart?+

    Only if each speaker comes in through their own audio stream, so only if everyone has joined separately. If people share a laptop microphone, Teams can't tell them apart.

    Where is a Teams transcript stored?+

    In the organiser's OneDrive for Business, or in SharePoint for a channel meeting. The transcript is governed by the access rights and retention policy of your Microsoft 365 environment, and is searchable within it.

    Do I need a paid licence for Teams notes of an in-person meeting?+

    For Facilitator's mobile notetaking feature you do: it requires a Microsoft 365 Copilot licence per user. Microsoft keeps expanding Facilitator, so check the current coverage for use around the table. Live transcription itself is built into Teams, but only works inside a meeting.

    Is a Teams transcript safe for confidential conversations?+

    Within your own tenant a Teams transcript is reasonably shielded, but it sits in a searchable archive with administrator access, and the provider falls under the American CLOUD Act. For sensitive conversations, that's a trade-off you need to make deliberately.

    What's the best alternative to Teams for an in-person meeting?+
